2. Personal data we process
When you use the contact form, we may process your name, email address, company, selected service type and the content of your message. If the conversation continues by email or another channel, we will also process the information you voluntarily provide during that communication.
To protect the form against abuse and spam, the application may temporarily process the IP address from which a request is made. Minimal infrastructure logs may also exist where necessary for security, diagnostics and service continuity.
We do not ask for special categories of personal data. Please do not include particularly sensitive information in the form unless it is strictly necessary and we have agreed the processing in advance.
3. Purposes and legal bases
- Handling requests for information, diagnostics, a blueprint, quotation or proposal: taking steps at your request prior to entering into a contract (Article 6(1)(b) GDPR).
- Answering general professional enquiries and managing business communications initiated by you: TEADMISI DIGITAALNE OÜ's legitimate interest in managing communications related to its business (Article 6(1)(f) GDPR).
- Preventing spam, abuse, fraud and attacks: legitimate interest in protecting the website, systems and communications (Article 6(1)(f) GDPR).
- Managing a contractual relationship, invoicing and accounting, tax or legal obligations: performance of a contract and compliance with legal obligations (Articles 6(1)(b) and 6(1)(c) GDPR).
Data submitted through this form are not used to subscribe you to newsletters or marketing campaigns. If we introduce optional commercial communications in the future, we will use a separate legal basis and provide an easy way to opt out.
4. Required information
Fields marked as required are necessary to identify and answer the request. If you do not provide them, we may be unable to handle your enquiry. The selected blueprint or service type is used only to provide context for the request.
5. Recipients and processors
Only persons authorised by TEADMISI DIGITAALNE OÜ who need access in order to answer the request, provide the service, administer systems or comply with legal obligations may access the data.
The website and email service use Hostinger as a technology provider and processor. Hostinger may use sub-processors in accordance with its Data Processing Addendum. We do not sell your personal data or disclose them to third parties for their own marketing.
6. International transfers
Technology services may involve providers or sub-processors processing data outside the European Economic Area. Where applicable, those transfers must rely on a valid mechanism under Chapter V of the GDPR, such as an adequacy decision or Standard Contractual Clauses approved by the European Commission. Hostinger describes its sub-processors and transfer safeguards in its contractual documentation.
7. Retention periods
- Enquiries that do not result in a contractual relationship are generally retained for no longer than 12 months from the last substantive interaction, unless a longer period is necessary to handle a claim or evidence an action taken.
- If a contractual relationship is established, data are retained for the duration of that relationship and afterwards for the periods required by applicable accounting, tax, contractual and limitation rules.
- IP addresses used by the application's anti-abuse rate limiter are held temporarily in memory and automatically removed when the technical control window expires.
- Infrastructure logs and backups, where present, are retained under limited security and continuity cycles and are periodically deleted or overwritten.
8. Your rights
You may request access to your data, rectification or erasure, restriction of processing, object to processing based on legitimate interests, and request data portability where applicable. Where processing is based on consent, you may withdraw that consent at any time without affecting the lawfulness of processing carried out before withdrawal.
To exercise your rights, contact hola@teadmisi.cloud. We may ask for reasonable information to verify your identity where necessary.
9. Complaints
You also have the right to lodge a complaint with a supervisory authority. TEADMISI DIGITAALNE OÜ's lead authority in Estonia is the Andmekaitse Inspektsioon (Estonian Data Protection Inspectorate), Tatari 39, 10134 Tallinn, Estonia, email info@aki.ee.
10. Automated decision-making
We do not use contact-form data for profiling or automated decisions that produce legal effects or similarly significant effects on you. Automated security controls, such as request rate limiting or the anti-spam field, are used only to protect the service.
11. Security
We apply reasonable technical and organisational measures to protect information, including HTTPS encryption, access controls, request rate limiting, input validation and infrastructure security measures. No Internet-connected system can guarantee absolute security.
12. Cookies and similar technologies
